Cost per AP invoice benchmarks 2026

Cost per invoice is the full cost of accounts payable, staff, systems and overhead, divided by the supplier invoices it processes. Ardent Partners puts the 2026 average at $9.90; its best-in-class fifth pay $2.67 against $12.50 for everyone else. APQC's median is $6.00. The gap comes from manual handling, not software prices.

What does it cost to process one supplier invoice?

Two bodies publish a cost per invoice from large samples, and they answer slightly different questions. Ardent Partners surveys AP and finance leaders each year and reports an average. APQC collects cost and volume data from organisations and reports a median.

Cost to process one supplier invoice, by source

Ardent Partners, Accounts Payable Metrics that Matter in 2026 and AP in 2026 (averages from a survey of 194 AP leaders); APQC Open Standards Benchmarking measure 100451 (median of 5,846 organisations). US dollars.

What we take from this

The two headline numbers do not contradict each other. A median is pulled less by expensive outliers than an average, and APQC's sample is far larger and runs from small firms to multinationals. Use APQC's $6.00 as the typical organisation and Ardent's $9.90 as the typical survey respondent, and quote whichever you use with its source.

What neither number tells you is your own cost. Divide your total AP cost, salaries and on-costs, software and any outsourcing, by the invoices you processed last year. In our experience, teams doing this for the first time find the answer higher than they guessed, because the time spent chasing approvals and answering suppliers never shows up as a line in the budget.

How far apart are best-in-class AP teams and everyone else?

Ardent Partners defines best-in-class as the 20% of organisations with the lowest invoice processing costs and shortest cycle times. Its 2026 AP Metrics that Matter report sets them against the other 80% on seven measures.

What we take from this

Read the seven rows together and they describe one thing. Best-in-class teams get clean data in at the start, a PO on the invoice, an electronic format, a supplier who knows the rules, and so most invoices never reach a person. Everything else on the list, the cost, the days, the supplier phone calls, follows from that.

Ardent makes a point worth repeating: most of the gap can start closing without buying anything. A no-PO-no-pay policy and one named owner for supplier master data are decisions, not projects. Automation then multiplies what those decisions make possible.

Is the cost of processing an invoice going up or down?

Ardent Partners publishes the same benchmark table every year. Between the 2025 and 2026 editions, cost per invoice barely moved and cycle time got markedly worse. Ardent's own summary for 2026: costs are rising, cycle times are lengthening, and exception volumes remain stubbornly high.

2026

What we take from this

The headline cost is flat, but the work behind it got slower and noisier: more exceptions, longer cycles and a big jump in time spent answering suppliers. Cost per invoice is a lagging measure. When cycle time and supplier enquiries rise, cost usually follows a year or two later as teams add people to keep up.

The best-in-class number has hardly moved in two years. That suggests the floor for a well-run, well-automated AP function is somewhere around $2.50 to $3.00 an invoice, and the opportunity for most teams is the distance between their own figure and that floor.

How many invoices should one AP person process?

Cost per invoice is mostly staff time, so productivity is the other side of the same benchmark and the one most teams can measure today from their own numbers.

What we take from this

If your team processes materially fewer than 1,000 invoices per person per month, the difference is time going somewhere, and rekeying, chasing approvers and answering suppliers are the usual places. That comparison uses your own headcount and volume, which is why it is a better starting point than any borrowed cost figure.

Our AP cost-per-invoice calculator is built on these benchmarks. Put in your volume, headcount and costs, and it shows your figure next to the APQC median and the best-in-class cost, cited to the same sources as this page.

What changes for Irish businesses?

No independent body publishes a cost per invoice for Ireland or in euros; the benchmarks above are in US dollars and drawn mostly from respondents in North America and EMEA. What is changing in Ireland is the invoice itself.

What we take from this

Structured e-invoices attack the most expensive part of cost per invoice directly. Data arrives in fields rather than on a PDF, so there is nothing to key and far less to check. Once large suppliers start issuing them in November 2028, every Irish business needs to be able to receive them, which makes the next two years the natural time to fix the matching and approval steps that come after receipt.

Until then, the benchmarks on this page are the best available, with the dollar caveat attached. Cost per invoice is mostly labour, so the ratio between your figure and the best-in-class figure carries across currencies better than either absolute number.

How this page was put together

Every figure was read out of the publisher's own document — the benchmark record, the research report, the Revenue guidance — and not out of an article quoting it. Each line carries the publisher, the edition and a link, so you can check any of it in a click.

Ardent Partners and APQC publish in US dollars and we have left the figures unconverted. Cost per invoice is mostly labour, so a currency conversion would suggest a precision the benchmarks do not have. We found no independent cost-per-invoice benchmark for Ireland or in euros.

Statistics are tagged by where they come from. APQC is an independent benchmarking body; Ardent Partners is an analyst firm whose reports are underwritten by software vendors, with a stated policy that sponsors have no influence on the findings. Both are labelled so you can weigh them accordingly.

Some widely quoted figures were left out. The “$15 to $40 per manual invoice” ranges on software vendors' blogs trace to no published study. A circulating “APQC median of $21.40” does not match APQC's own published median of $6.00, and we could not find it in any APQC document. APQC's older $5.83 median survives only in a 2018 magazine column and has been superseded. An EU estimate of €4.1 billion a year in e-invoicing savings is quoted by Revenue from a European Commission study we have not read, so it stays off the page. If you have the underlying data for any of these, we would like to see it.

Reviewed annually. Ardent Partners publishes The State of ePayables each summer and AP Metrics that Matter each autumn, APQC's benchmark database updates continuously, and Revenue publishes e-invoicing guidance as each phase approaches.

Questions people ask

What is the average cost to process an invoice?

Ardent Partners puts the 2026 average all-inclusive cost at $9.90 per invoice, from a survey of 194 AP and finance leaders. APQC's cross-industry median, from 5,846 organisations, is $6.00. One is an average and the other a median, so quote each with its source.

What is a best-in-class cost per invoice?

Ardent Partners' AP Metrics that Matter in 2026 puts best-in-class organisations, the top 20% on cost and speed, at $2.67 per invoice. All others average $12.50, more than four and a half times as much.

Why is processing an invoice so expensive?

Most of the cost is people's time: keying data, chasing approvals, fixing exceptions and answering suppliers. Ardent's 2026 data shows 19.9% of invoices need manual exception handling and AP staff spend 29.4% of their time on supplier enquiries.

How many invoices should an AP clerk process per year?

APQC's cross-industry median is 12,000 invoices per accounts payable full-time equivalent per year, from 3,748 organisations, or about 1,000 a month. Teams well below that usually lose the time to rekeying, approval chasing and supplier enquiries.

What is a good straight-through processing rate?

Ardent Partners' 2026 figures put the average at 38.3% of invoices processed with no human touch. Best-in-class organisations reach 55.2%; all others manage 31.4%.

When does e-invoicing become mandatory in Ireland?

Revenue's roadmap starts in November 2028 with large corporates' domestic B2B invoices, extends to all VAT-registered businesses trading across the EU in November 2029, and covers all intra-EU B2B transactions from 1 July 2030. Every business must be able to receive e-invoices.

Where do these figures come from, and how often are they updated?

Every figure was read from the publisher's own document and carries the publisher, year and a link. Ardent Partners publishes in US dollars and we have not converted them. The page is reviewed annually against the newest editions.
