What does one supplier invoice cost you?
Put in your invoice volume, your AP headcount and how much goes through untouched. You'll get your annual processing cost, the gap to best-in-class, and the hours a higher touchless rate hands back to your team.

How this is calculated
Annual AP processing cost
Invoices per month × 12 × cost per invoice
Annual gap to best-in-class
(Invoices per month × 12 × cost per invoice) − (invoices per month × 12 × target cost)
Time handled per invoice
(AP people × 150 hours × 60) ÷ invoices per month
Hours returned per month
Invoices per month × (target touchless % − current touchless %) × minutes per invoice ÷ 60
Invoices per AP person, per year
(Invoices per month × 12) ÷ AP people
Handling time is derived from the team you described, not from an industry minutes-per-invoice figure: 150 productive hours a month per full-time person, roughly 1,800 a year, spread across the invoice volume you entered. If your AP people also do other work, reduce the FTE number rather than the hours.
We use your own numbers here deliberately. The minutes-per-invoice figures that circulate online — 12 minutes, 15 minutes, 15 to 30 minutes — trace back to vendor blogs citing each other rather than to any research publisher, and they disagree with one another. What is properly published is the productivity measure alongside it: invoices processed per AP person per year, where APQC's cross-industry median is 12,000. That is the number your result is compared against, so the handling time above has an external reference point rather than standing on its own.
Ardent Partners publishes its cost-per-invoice benchmarks in US dollars. We prefill them unconverted, because invoice processing cost is mostly labour and an FX conversion would imply a precision the benchmark doesn't have. Treat them as indicative and overwrite them with your own figure if you have one.
The cost gap and the hours value overlap — labour is part of cost per invoice. Read them as two views of the same improvement, not as numbers to add together.
Where the benchmark numbers come from
Average cost to process an invoice of $9.84, average processing time of 8.2 days, and an 18.4% exception rate. Best-in-class organisations run processing costs 79% lower (about $2.07), are 79% faster, and process more than 1.8 times as many invoices straight through.
Ardent Partners, The State of ePayables 2025: AP's Unfinished JourneyInvoices processed per AP full-time equivalent, per year: cross-industry median of 12,000, across a sample of 3,665 companies. Calculated as invoices processed ÷ the number of FTEs performing the accounts payable process — the same way this page calculates yours. (Measure 101290; APQC publishes the median openly and the quartiles to members.)
APQC Open Standards Benchmarking, measure 101290 — invoices processed per AP FTEOn the same measure, top performers are five times more productive than bottom performers at processing invoices, AP cost for top performers is one-fifth of the bottom quartile (median performers pay twice what top performers do), bottom performers need four times as many AP staff, and top performers take half as many days from invoice receipt to payment. Published 22/05/2018, so treat the ratios as more durable than any absolute figure.

Key takeaway
Annual AP processing cost is invoice volume multiplied by cost per invoice. Ardent Partners' State of ePayables 2025 puts the average cost at $9.84 per invoice and best-in-class at 79% lower, around $2.07 — a gap driven almost entirely by how many invoices are processed with no human touch. On productivity, APQC's cross-industry median is 12,000 invoices per AP person per year.
Why the gap is a touchless-rate problem, not a headcount problem
Cost per invoice does not fall because people work faster. It falls because fewer invoices need a person at all. A clean purchase-order invoice that matches on quantity, price and unit of measure should never reach a human inbox — and in most AP functions, that describes the majority of volume.
The invoices that genuinely need judgement — mismatched units, part-delivered orders, missing receipts, credit notes against the wrong period — are where the AP team's time should be going. The hours figure above is what moving the clean invoices out of the queue gives back.
For how the matching is actually built — deterministic PO, SKU and unit-of-measure matching first, AI extraction only as a fallback, and a mathematical reconciliation gate before anything reaches the ERP — see the AP automation service page and the complete guide to AP automation.
Questions people ask
What is cost per invoice?
The fully loaded cost of getting one supplier invoice from arrival to posted and paid: the people who touch it, the systems it passes through, and the overhead attached to both. It is the standard way accounts payable functions are benchmarked because it normalises for volume.
What is a good cost per invoice?
Ardent Partners' State of ePayables 2025 puts the average at $9.84 per invoice, with best-in-class organisations running 79% below that, around $2.07. The distance between those two numbers is almost entirely about how many invoices are processed without a human touching them.
What does touchless invoice processing mean?
An invoice is touchless when it arrives, is captured, matched to its purchase order and receipt, and posted without anyone opening it. Exceptions still go to a person. Best-in-class AP functions process more than 1.8 times as many invoices this way as everyone else.
How many invoices should one AP person process a year?
APQC's Open Standards Benchmarking puts the cross-industry median at 12,000 invoices per accounts payable full-time equivalent per year, from a sample of 3,665 companies. On the same measure, APQC finds top performers are five times more productive than bottom performers, so the median is a floor to clear rather than a target to settle at. This calculator shows your figure next to that median.
How do you work out the hours automation gives back?
This calculator derives your current handling time from your own inputs — the AP headcount you entered, at 150 productive hours a month each, spread across your invoice volume — then applies that time to the additional invoices that would go straight through at your target touchless rate. It does not use an assumed industry minutes-per-invoice figure, because the ones in circulation trace back to vendor blogs rather than research. Your productivity is instead compared against a properly published benchmark: APQC's median of 12,000 invoices per AP person per year.
The benchmarks are in dollars. Does that matter?
Ardent Partners publishes in US dollars and we prefill the figures unconverted. Invoice processing cost is mostly labour, so a currency conversion would suggest a precision the benchmark does not have. Both the current and target cost fields are editable, so replace them with your own numbers if you have them.
Do I need to give my email to see the result?
No. The calculator is open, prefilled with a worked example, and nothing you type is stored or transmitted. The booking link is there if you want the numbers pressure-tested, but it is optional.
